It’s all thanks to web conferencing software like GoToMeeting, which was first released in 2004 by Boston-based company LogMeIn – also known for the VoIP service Grasshopper and other entries in the GoTo series, like GoToWebinar. GoToMeeting is known for its speed, letting you set up a meeting with just one click – saving you time whenever you want to have a quick call. The service can be accessed through its desktop apps, browsers, mobiles, or by dialing into a call from anywhere in the world. With GoToMeeting you’re able to organize high-quality web conferences with up to 25 people sharing their webcams at one time, although depending on your plan you can host a conference with up to 250 people at once. Conferences are accessible through the desktop apps (available for macOS and Windows), mobile apps (Android and iOS), or through a browser. You also have the option of dialing in over the phone.

When you’re in a meeting it’s easy to find everything you need, with chat and settings easily accessible through a tab on the right side. You can share your screen or an application during a call, and other attendees can request remote control to edit, or alternatively use the whiteboard to draw or highlight. We would like to have the option of adding polls to meetings in the future – something other web conferencing software provides.

GoToMeetings allows you to record meetings of up to two hours in length although meeting recordings can only be made through the desktop applications. After your meeting is finished and the recording is processed (which typically takes a few minutes but can be much longer depending on the length of your meeting) you’ll receive an email with a link to the meeting. The link allows you to view the video or download it as an MP4 file. If you’ve selected to have your meeting automatically transcribed, this will also appear on the page to be copied and pasted into a document of your choice. We find that although the transcription isn’t completely accurate, it still does a pretty good job of picking up voices, and even differentiating two different voices coming from the same microphone.

GoToMeeting administrators get their own control center, and from there they can adjust just about every aspect of the system. Admins are able to add users and adjust their settings, like adding or removing permissions. It’s possible to download activity reports showing how long each user has been in a session, the number of sessions in total, and the number of attendees for each one. Users can be placed in groups to make it easy to change settings for multiple users at once.

Setup

Setting up meetings with GoToMeeting is a simple process. Just press one button to get started – all you need to do is invite other attendees. Of course, if you want to plan a meeting in advance then you have a lot more options. One neat feature is that when you set up a meeting for a different time zone, you’re reminded what time it will be for you locally – a simple thing other web conferencing applications forget about. You can also set up a password, add other organizers to the meeting, and add meetings to your Google or Outlook calendars.

Once this is completed, you’re given invitations which can be sent out via email. The meeting invitation includes a link to the meeting and a handy link to download the GoToMeeting app for first-time users. There’s also a phone number for anyone who wants to dial into the meeting (and of course the all-important access code).

Security

When you’re having confidential meetings, you want to know that you’re using secure web conferencing software. GoToMeeting’s sessions are secured end-to-end using SSL protocols and AES-128 encryption to guarantee security. Attendees need to be given a unique ID or invitation to be able to join any web conferences, ensuring that not just anybody can sit in on a meeting. If you really want to keep your meetings secure, it’s possible to have them password protected or locked to prevent anyone else joining.

GoToMeeting has desktop apps for both macOS and Windows, although the apps are not as comprehensive as those offered by its rivals. You have only three options available to you: to set up a meeting immediately, schedule one for a future time, or view your meetings schedule. There are simplified apps for Android and iOS that let you set up meetings and take calls on the go, but they don’t have the same functions as the desktop versions.

Although there’s currently no app for Linux users, they can still connect via a browser. When you go to the browser page, you simply need to enter the meeting code or URL and you’ll be logged on. All the in-call features – like the live chat – that are accessible through the app are also available on the browser, and there’s a button that allows you to switch seamlessly from browser to desktop.

Pricing

GoToMeeting offers three tiers to choose from – Professional, Business, and Enterprise – with different prices depending on whether you choose to pay monthly or yearly. The cheapest way to get GoToMeeting is by subscribing to the Professional package which allows up to 150 participants and has pay-as-you-go toll-free numbers to allow attendees to dial into calls from over 50 countries worldwide. The Professional package costs $14 per organizer every month, but you can save 14% by paying annually which works out to just $12 per month for each organizer.

The Business package comes to $19 per organizer a month, with that reducing to $16 a month if paid annually – a 16% discount. The Business package offers up to 250 participants with the ability to dial out to five participants during a meeting. If that’s not enough for you then there’s the Enterprise package with up to 3,000 participants plus extra bundles and more, although prices depend on your business’s needs.
